Facility Usage

All requests (ministry or personal) are accepted through this Reservation Request Form.

Please be aware we are not a full-service rental company, our primary purpose is to build the Kingdom of Heaven. However, in an effort to meet your expectations of a successful event, we try to match the needs you list in the Reservation Request with the room(s) that will best suit your needs.

Facility Use Agreement


Statement Of Purpose:

We make our facilities available to approved member persons and groups as a witness to our faith, in a spirit of Christian charity, and a means of demonstrating the Gospel of Jesus Christ in practice. However, facility use will not be permitted to persons or groups holding, advancing, or advocating beliefs, or advancing advocating, or engaging in practices that conflict with Cassel Hills Church of Christ’s Statement of Beliefs. Nor may the facilities be used for activities that contradict, or are deemed by the leadership as inconsistent with, or contrary to the church’s faith or moral teachings. Allowing church facilities to be used for purposes that contradict the church’s beliefs would be material cooperation with that activity, and would be a grave violation of the church’s faith and religious practice. (See 2 Corinthians 6:14, I Thessalonians 5:22) Church owned property or facilities can be used for personal benefit based on criteria in agreement with our CHillsCOC Statement of Beliefs.

Specialized events will be determined on a case-by-case basis particularly the use of facilities during the months of Easter, Thanksgiving and Christmas. However, the following requirements must be met prior to any consideration to rent, loan, or use any church property or facility:

1. Ministry, organization, and sponsored activities of the church (“in-house”) will take first priority because our sole purposes are to build the Kingdom of God through sharing the gospel and love of God and growing believers through discipleship opportunities. There must be no conflicting dates, times, or resources with “in-house” events. 

2. Priority shall generally be given to members of the church and groups that are a part of the ministry. 

3. Church facilities and A/V equipment will be made available to members meeting the following qualifications:

a. Groups or persons requesting facility use must be members and affirm that their beliefs and practices and planned uses of the facilities are in harmony with the church’s faith and practice.

b. The group or person seeking facility use must submit a “Reservation Request and Agreement Form”

c. The group or person seeking facility use must be willing to take responsibility for the facilities and A/V equipment used and must agree to abide by the church’s rules of conduct for facility use, as stated in this document and as described in any additional instructions by church staff.

Facility Guidelines:

• No rentals permitted on Sundays before 1:00 pm or after 5:00 pm, and Wednesdays after 2:00 pm.

• Requests for facility use may be made by submitting the “Reservation Request and Agreement” only.

• On-site contact person must be present at all times. 

• No church supplies are to be used unless prior arrangements are made.

• No advertisements are to be distributed in the parking lot areas. 

• Alcohol is prohibited on church premises.

• Cassel Hills Church of Christ is a smoke-free facility.

• Abusive or foul language, violent behavior, and drug use are strictly prohibited while using the church facilities.

• Groups are restricted to only those areas of the facility that the group has reserved. 

• Funerals, Weddings, and Wedding Receptions must be done by special request utilizing the approved room. 

• Under no circumstances are children to be left unattended while on the Cassel Hills Church of Christ campus. Parents must accompany all children under the age of 13 at all times.

• Renter is responsible to replace or repair damaged equipment.

• In case of emergency during the event, please contact the elder on call or available CHillsCOC staff.

Food and Drink:

• Kitchen facilities and equipment may be used for non-church events with prior approval only.

• Absolutely NO alcohol is allowed on the church campus.


• Candles may be used only if contained in glass. The flame must not exceed the top of the container. All taper candles used must be drip-less. 

• No nails, push pins or staples are to be used on any walls or furniture. 

• Signs on exterior doors are allowed with prior approval. 

• All decorations must be removed at the end of the event.

Maintenance and Upkeep:

• Staff will provide set-up of technical equipment. 

• All decorations, table set-up, table coverings, coffee, cups, etc. are the responsibility of the person who has signed the Reservation Request and Agreement Form.

• We ask that you leave the area you use as close to the way you found it as possible. This includes putting away any tables or chairs you set up, returning the room to the standard set-up, and making sure the area is clean.

• If the area is not clean after the event, you may be charged a special cleaning fee.


• All technical needs such as portable sound system, microphones, CD players, TV’s, DVD’s, etc. must be requested through this form. 

• If you have Sound/Technical needs CHillsCOC will train your responsible volunteer to run tech for your event. You will be responsible for ensuring the technical equipment will be used properly and turned off after your event.

• If you have not requested use of the A/V equipment - do not use the A/V equipment.


1.   I understand that the church does not allow its facilities to be used in a way that contradicts CHillsCOC’s Statement of Beliefs or by persons or groups holding beliefs that contradict the church’s faith.

2.   To the best of my knowledge, the purpose for which I am requesting use of church facilities will not contradict the CHillsCOC Statement of Beliefs. I commit to promptly disclose any potential conflict for which I am aware or become aware to church staff.

3.   I am not aware of any beliefs that are professed by me that contradict the CHillsCOC Statement of Beliefs. I agree to promptly disclose any potential conflicts in belief to church staff.

4.   I understand that the church does not allow its facilities to be generally available to the public and that my use of these facilities is subject to approval which is conditioned in part on my agreement to the requirements in this “Reservation Request and Agreement Form”, a copy of which I have read and understood. 

5.   I understand that I will be responsible for any damages to the church facilities resulting from the purposed use of the facilities.

6.   The Church will have sole discretion in determining what measures are necessary to promote the health and safety of the public at the event.

7.   I acknowledge that the Church is not responsible for the event in any manner, and I will indemnify and hold harmless the Church, its agents and employees, against all claims, demands, damages, injuries, liability, cost, and expenses, including attorney fees, that may arise or be incurred from or related to the event.
